Preparing your WFS Shipment

WFS allows merchants to focus on sales while they provide fast shipping, seamless returns, and excellent customer service. Learn how to prepare your shipment below.

If you're looking for a first-class fulfillment service experience, then Walmart Fulfillment Services is for you. Walmart’s large supply chain and world-class operations give their merchants access to lower fulfillment costs, improved conversion rates, and competitive pricing on their products to boost their sales and ROI.

General Seller Guidelines

Before we dive into the process of WFS shipment, check out these general seller guidelines. This guide will help WFS sellers successfully ship their products to a Fulfillment Center (FC) without any issues:

  • Products must meet sortable criteria. A product is considered as a “sortable inventory” when it meets the following: < 30 lb with a maximum dimension ≤ 25 inches, median dimension ≤ 20 inches, and a minimum dimension is ≤ 14 inches.

  • Ship the product to the address of your fulfillment center. Please do not send purchase order shipments to the Walmart corporate billing address. WFS has the right to refuse/return items to the seller at the seller’s/shippers’ expense. The seller may be assessed handling charges.

  • If the seller fails to properly pack and prepare the shipment, it can result in rejection and can be returned to the seller at their expense. Seller may be responsible for paying handling charges.

  • Any improper preparation and packing in the shipments may result in a delay in the processing and receiving of inventory.

  • When a product is Returned to Vendor (RTV), the seller is responsible for all shipping fees. WFS has the right to refuse any item considered unsafe, infested, damaged, or unfit to receive.

  • Walmart may inspect products arriving at the Fulfillment Center.

  • LTL/FTL freight should be sent as single shipments. All inbound orders will be closed 7 days after the first receipt.

  • WFS offers discounted shipping rates for FedEx small parcels when you use the WFS Inbound Logistics Services/Preferred Carrier Program.

5 Steps in Preparing your WFS Shipment

Step 1: Select your assortment for WFS Walmart only allows 1 offer per item for a seller. Walmart will prioritize WFS when fulfilling orders until inventory runs out, then flip the offer to seller-fulfilled when there is still inventory available in Seller Center. There can't be a seller-fulfilled offer and a WFS offer for the same SKU at the same time.

Step 2: Convert your MP listings to WFS

Using the Excel file that you can download in Seller Center, or the API using the Item Conversion Spec, convert your existing seller-fulfilled items to WFS fulfilled. Once converted, you can enable the supply chain systems to accept items in the fulfillment center (FC). Then, complete the following data needed for fulfillment services and FC regulations.

  • Complete dimension

  • Prop 65

  • WERCs

  • Tax Codes

  • Country of Origin

This is a one-time effort for every SKU and you can send inventory at any time once the item is converted to WFS. Walmart only charges for inventory received at the FC.

Step 3: Prepare to Ship by creating and uploading a Purchase Order (like a Bill of Lading) Submit a purchase order (PO) through Walmart’s Global Supply Chain Operations system (GSCOPE). You can download the PO file in the Seller Center, fill in the product information (SKU, quantity, etc.), and then upload the spreadsheet into the system.

Step 4: Ship Your Inventory The next step is to label, prep, and then ship your items to Walmarts Fulfillment Centers. Walmart only accepts a simple and scannable UPC label for each item, so relabel your inventory if needed. Step 5: Confirm Your Shipment Once your shipment is confirmed, make sure to update and reconcile your inventory.

What’s Next?

After completing all these steps and once the item is received in inventory, your product listing will be up and running. Walmart will track sales, shipping performance, customer returns, and you as a seller can easily view metrics, edit listings, and manage price promotions and product updates.
